Frequently Asked Questions

What is a Pod?

A Pod consists of 2-8 students in grades K-5. The most successful Pods consist of students in similar grade levels.

What is a Primary Family?

The Primary Family is the organizer of the Pod. Their responsibilities include choosing the students, determining the Pod’s scheduling and learning needs, registering the Pod with ESF, and collecting payments.

Who registers a Pod?

The Primary Family registers their Pod through our online registration system. You will be asked to choose your package, answer brief questions about your Pod, and submit payment in full. See the additional payment details below. Please note that when prompted during registration, the “person attending” should be the Primary Family.

Can I choose the days and times for my Pod?

Yes. We offer 10-hour, 20-hour, and 30-hour per week packages. Once you choose your package, you can determine how you want to schedule those hours during the week. Days and times can be flexible based on your Pod’s needs with days being Monday through Friday and times being as early as 8:30 a.m. and no later than 5:30 p.m. – no weekends). There is a 4-week minimum required.

Where will the Pod take place?

Pod locations can vary based on the Pod’s needs. Some Pods may want to rotate houses every day or every week, while other Pods may prefer to have only the Primary Family host. Any house that will be hosting a Pod will be asked to complete a short questionnaire regarding their home environment (pets, food allergies, younger siblings, etc.)

Who are the Instructors?

ESF Instructors are comprised of highly experienced and dedicated teachers and college students possessing a deep commitment to the development of each child. All ESF instructors are hand-selected and background checked. They also receive ongoing training and support. Your Pod will have the same instructor for the duration of your scheduled session.

What activities are offered?

Your Pod can determine what activities are offered. Our Instructors are ready and qualified to help with homework, work on athletic skill development, engage students in recreational games, and/or provide academic enrichment. Whether your child is participating in virtual, hybrid, or in-person school learning, our Instructors will cater to the unique needs of your Pod and your child’s academic learning structure.

What should my child bring?

If your Pod will be engaged in online learning, each child will need all their school materials including a device, charger, and headphones. Each child should also bring a refillable water bottle, snacks, lunch (where applicable), and a face covering. Other supplies may be needed depending on your Pod’s chosen activities.

Do I have to be at home when the Instructor is there?

Yes. A parent/guardian is required to be at home while the ESF Instructor is there. While you are not responsible for supervising the students, it is important that you are available in case of an emergency.

Can I meet with the Instructor to talk about my child’s learning style?

Absolutely. Once we have paired your Pod with an Instructor, we will introduce each Pod family and connect you directly. We will help you arrange a phone call where you can share details about your child’s personality, learning style, and individual needs.

How can we keep our Pod safe?

All Instructors and students will complete a daily health screening that covers the questions outlined by the CDC (i.e. symptoms, contact with individuals, travel, etc.), and will be asked to report their temperature daily, prior to arriving at the Pod location. Instructors will be required to wear face masks, practice good handwashing, and immediately report any symptoms or close contact with someone diagnosed with COVID-19. Other safety precautions deemed essential for your pod can be discussed in more detail.

What if the Instructor is sick?

If an Instructor is sick, we will notify the Primary Family, as soon as possible. The Primary Family will be responsible for notifying the other participants in the Pod. In order to manage contact tracing and exposure, ESF will not send a replacement for that day. A credit will be applied to your Pod’s account if there are no services provided for that day.

How does payment work?

The Primary Family is responsible for registering the Pod and submitting payment. It is the responsibility of the Primary Family to work independently with the Pod members to collect payments. All payments are paid in full – no deposits.

Can my ESF credit be used to pay for POD-Ventures?

We would be happy to confirm your available credit to use for POD-Ventures.  Please call us at 800-529-2267 to discuss with one of our Customer Engagement Representatives.

What is your cancellation policy?

Payments are non-refundable unless services are not provided on a given day then a credit will be applied to the Primary Family’s account.  If we must cancel due to inclement weather (sports activities), or for illness, rescheduling will be coordinated through the Primary Family.
